And How to Fix Them Before They Cost You Time, Money, or Opportunities
Behind every successful business is a foundation of well-run admin. But when you're wearing all the hats, it's easy for small inefficiencies to build up—and suddenly they’re holding your business back in ways you might not even realise.
Here are five common admin mistakes I see time and again—and some simple ways to get them sorted.
1. Poor Diary Management = Missed Opportunities
If your calendar is chaotic, double-booked, or scattered across platforms, you're more likely to miss meetings, run late, or feel constantly on the back foot. This not only affects your professional image—it eats into your mental energy.
Quick Fix: Start by centralising your calendar. Block out time for both meetings and focused work. Better still? Let someone else (like me!) manage it for you—ensuring things run smoothly and giving you space to breathe.
2. Invoicing Delays = Cash Flow Struggles
Sending invoices late or forgetting to follow up on payments can quietly drain your business. You’re doing the work—but not getting paid on time.
Quick Fix: Set up a simple, repeatable invoicing process. Automate where possible and schedule weekly check-ins to follow up on outstanding payments—or outsource it so your cash flow stays healthy without you lifting a finger.
3. Disorganised Digital Files = Wasted Time
Can’t find the latest contract? Spending too long hunting for version 7_final_FINAL.pdf? Disorganised folders and poor document control lead to delays, errors, and missed details.
Quick Fix: Create a clear folder structure and naming convention. Use cloud storage to keep files backed up and shareable. I help clients declutter their digital workspaces all the time—it’s a game changer for clarity and speed.
4. Inbox Overload = Missed Messages & Mental Clutter
An overflowing inbox doesn’t just feel stressful—it means important messages can slip through the cracks, and responding becomes reactive instead of intentional.
Quick Fix: Unsubscribe from junk, set up filters, and use folders to triage. Or let someone manage your inbox so the right things get your attention at the right time.
5. Doing Everything Yourself = Burnout & Bottlenecks
Trying to be the marketer, the bookkeeper, the admin assistant, the PA... it slows everything down. The truth is, the more you're in your business, the harder it is to work on your business.
Quick Fix: Start by delegating one task or project—something you know takes up time but doesn’t need your direct input. You’ll be surprised how quickly the mental load lifts.
Let’s Simplify Things
Getting your admin under control doesn’t have to be a big, overwhelming project. Sometimes it’s as simple as knowing where to start—and having the right support by your side.
